2. Scope
This policy applies when you visit the ActiveJoe website, use the enquiry form, contact us, start an enquiry through WhatsApp or otherwise communicate with us about ActiveJoe.
3. Information we collect
We may collect your first name; mobile number; email address; the type of protection you are interested in; whether you already have protection; preferred callback day and time window; communications you send us; enquiry source and campaign information; lead reference, submission time, delivery result and handling status; the privacy information and disclosure version shown to you; withdrawal or do-not-contact status; audit history; and technical, security, device, cookie and website-use information where applicable.
We do not use the ActiveJoe enquiry form or initial WhatsApp journey to collect detailed medical, health or underwriting information. If you later enter TLS’s regulated advice process, TLS may collect additional information under the privacy information applicable to that process.

We use personal information for the following purposes and lawful bases.
Handle your protection enquiry
Purpose: Receive, record, send to the TLS protection team and respond to the protection enquiry you ask us to handle.
Information used: Enquiry choices, name, mobile, email, callback preference and communications.
Lawful basis: Steps at your request before entering into a contract — UK GDPR Article 6(1)(b).
Administer and track your enquiry
Purpose: Administer, route and track the enquiry; prevent duplicates; evidence delivery; operate the dashboard; preserve wording shown at submission; and manage withdrawal or do-not-contact instructions.
Information used: Enquiry and contact data, source, timestamps, disclosure versions, statuses, delivery evidence and audit history.
Lawful basis: Legitimate interests — Article 6(1)(f): operating an effective, accountable enquiry service, respecting instructions and demonstrating what occurred.
Keep our services secure and reliable
Purpose: Operate and secure the website, forms, dashboard and communications systems; detect misuse; troubleshoot and maintain service continuity.
Information used: Technical, security, device, log and limited enquiry data.
Lawful basis: Legitimate interests — Article 6(1)(f): keeping services secure, reliable and protected against misuse.
Respond to questions and rights requests
Purpose: Respond to questions, complaints and data-protection requests.
Information used: Contact details, communications and relevant enquiry or audit records.
Lawful basis: Legitimate interests — Article 6(1)(f), or legal obligation — Article 6(1)(c), where the law requires action.
Meet legal and regulatory obligations
Purpose: Meet applicable legal and regulatory obligations and respond to authorised regulators, courts or authorities.
Information used: Information required for the relevant obligation or request.

Purpose: Use non-essential cookies, pixels or similar technologies and process the associated personal information.

5. How we use your information
We use information to receive and record the requested protection enquiry; provide it to TLS’s protection team; contact you about it; take account of your preferred contact time; administer and track it; operate and secure the website and dashboard; prevent misuse and duplicates; maintain evidence and audit records; respond to questions, complaints and rights requests; and comply with applicable legal and regulatory obligations.
6. Who receives your information
At launch, ActiveJoe enquiries are handled exclusively by Tailored Life Solutions Ltd. We do not send your enquiry to multiple protection brokerages.
We may use service providers supporting hosting, website operation, dashboard/CRM functions, secure automation, email, SMS, WhatsApp-related communications, security, analytics and consent management. Appropriate contractual and security arrangements are used. We may disclose information where required by law or an authorised regulator, court or public authority.
7. Marketing
Submitting an ActiveJoe enquiry does not sign you up to unrelated ActiveJoe email, SMS or WhatsApp marketing. Your contact details are used to deal with the protection enquiry you requested. If this changes, TLS will update its privacy information and provide any required choice before the new use begins.
8. Retention
Identifiable information held within the ActiveJoe enquiry dashboard is retained for no longer than 12 months from submission, unless it must be removed sooner following a valid request or retained for a specific legal reason. At the end of that period, identifying information — including name, telephone number, email address and callback preference — is automatically deleted or irreversibly anonymised.
TLS may retain genuinely anonymised commercial information such as lead reference, date, source, campaign, destination, delivery result and lead value only where it can no longer identify a person and cannot reasonably be re-linked to them.
If you enter Tailored Life Solutions Ltd’s regulated advice or customer process, information in TLS regulatory/customer systems is subject to TLS’s separate applicable retention requirements. Dashboard deletion does not automatically delete records TLS is required or entitled to retain.
9. Cookies and similar technologies
Essential technologies may be used where necessary to operate and secure the site and remember privacy choices. Non-essential analytics, advertising pixels or similar technologies are used only in accordance with applicable consent requirements. See our Cookie Policy and Cookie Settings.
10. International transfers
Some technology providers may process information outside the UK. Where a restricted international transfer occurs, TLS will ensure an appropriate UK transfer mechanism, adequacy regulation or other required safeguard is in place.
11. Security
TLS uses appropriate technical and organisational measures designed to protect personal information. Access to the ActiveJoe dashboard is restricted to authorised users and logged. No online system can be guaranteed completely secure.
12. Your rights
Depending on the circumstances, you may have rights to access your personal information; correct inaccurate information; request erasure; restrict processing; object to processing, including processing based on legitimate interests; request portability; and withdraw consent where processing relies on consent. Withdrawal does not affect processing already carried out lawfully.
You may complain to the Information Commissioner’s Office. We would welcome the opportunity to address your concern first.
